Privacy statement Npuls

Npuls values the privacy of participating institutions and website visitors. When we ask for your personal data, we treat it with care. In doing so, we comply with the General Data Protection Regulation. You can read all about this in this privacy statement. 

  

How do we handle your data?   

When Npuls requests and processes personal data from you, your privacy is paramount. This means, among other things:   

  • We clearly state the purposes for which we process your personal data. We do that through this privacy statement.  
  • We only ask for personal data that are necessary for legitimate purposes.  
  • We secure your personal data properly, and require the same from parties processing your personal data on our behalf.  
  • You can always access, correct or delete your personal data. 

  

Security measures  

We have taken the following security measures, among others, to protect your personal data:  

  • Our system can only be accessed via a secure connection from the SURF network.  
  • We use secure connections (HTTPS) to ensure the security of data transmission.  
  • We take organisational and physical access measures. 

 

Contact via e-mail  

If you contact us via e-mail for questions or support, the Npuls team may process the following data from you:  

  • name  
  • e-mail address  
  • any other personal data you send us in the e-mail 

  

Why do we ask for this data?   

The processing of this data is necessary for answering and handling your query (legal basis for processing: consent). By emailing us, you consent to the processing of your data. 

  

How long do we keep this data?  

If you contact us via e-mail, we will keep your data for as long as is necessary, based on the content of the e-mail, to fully answer and process it and for any follow-up questions. 

 

Signing up for events   

If you register for an event via our website, we ask for the following personal data: 

  • first and last name (mandatory field)   
  • e-mail address (mandatory field)  
  • organisation where you work (mandatory field)  
  • organisation sector you work in  
  • function  
  • payment details  
  • dietary preferences  
  • any other information you volunteer 

  

Why do we ask for this data?   

We need your data to process your registration (legal basis for processing: performance of agreement). In addition, we can carry out (statistical) research based on these data in order to improve our services (legal basis for processing: legitimate interest of Npuls). 

How long do we keep these data?  

Npuls may use your data for up to 18 months after the event to conduct research. This research is aimed at improving the events we offer to the target group. For this research, Npuls pseudonymises the data so that they are no longer directly traceable to individuals. To do this, NPULS removes your name and e-mail address. After 18 months, your data will be completely anonymised, rendering them both directly and indirectly untraceable. Npuls can then only use the anonymised data for statistical research purposes. 

 

Newsletter subscription  

If you subscribe to our online newsletter, we ask for the following personal data: 

  • first and last name;  
  • e-mail address;  
  • organisation where you work. 

Every newsletter of Npuls contains a link to unsubscribe. 

  

Why do we ask for this data?  

We need your data to process your application (legal basis processing: performance of agreement).  

How long do we keep this data?  

After you have unsubscribed from the newsletter, you will no longer receive it with immediate effect. 

 

Web forms   

Our website allows you to fill in forms for various purposes. For example, you can register as a speaker for an event or fill in a feedback form. When you fill in a web form, Npuls may request the following data from you: 

  • first and last name  
  • address  
  • e-mail address  
  • phone number  
  • field of interest  
  • organisation where you work  
  • organisation sector you work in  
  • position  
  • any other information you volunteer 

  

Why do we ask for this data?  

We need your data to process your application or enquiry (legal basis processing: performance of agreement).  

How long do we keep this data?  

We keep your data for 1 month after your question or application has been fully processed, so that we can still answer any follow-up questions. 

 

To whom do we provide your data?  

The Npuls website and activities are hosted by SURF, because SURF(net) is the penciller of Npuls. Staff of SURF and its housing and management partners have access to relevant systems. We only provide the data you provide to third parties if this is necessary to provide the relevant service to you.  

Furthermore, we only provide your data to other parties with your permission, unless we are legally obliged or permitted to provide your data. For example, the police can request data from us in the context of a fraud investigation. Npuls is then legally obliged to provide this data. 

What rights do you have in relation to your data?  

We process your personal data, so you can decide what happens to it. You can contact Npuls for this purpose, see the contact details at the bottom of this page. What exactly can you do with the data provided to us? 

  • You can request to see the data we process about you.  
  • You can request us to amend, supplement or delete your data if it is inaccurate or no longer relevant.  
  • You can request us to restrict the processing of your data.  
  • You can request a digital overview of the data we process about you and you have the right to transfer this data to another service provider.  
  • You can withdraw consent to the processing of your personal data, for example by unsubscribing to a newsletter. Please note that the processing of your personal data before withdrawing your consent remains lawful. 

 

If you think Npuls is not handling your personal data properly, you can file a complaint with Npuls. If you and Npuls cannot work it out together, you can file a complaint about Npuls with the Dutch DPA. 

Right of objection  

In addition to the rights mentioned above, you can also object to processing carried out on the basis of the legitimate interest of Npuls or a third party. This can be due to reasons related to your specific situation. Objections can be made via the contact details found at the bottom of this privacy statement.  

Please note that exceptions apply to this. Be aware that Npuls cannot control materials (e.g. video) after they have been published online on channels other than its own website. Also in these cases, Npuls cannot remove the visual material after publication. Of course, Npuls chooses the visual material used for this purpose with the utmost care. 

Third-party websites  

This privacy statement does not apply to third-party websites to which we link on our website. Npuls cannot guarantee that these third parties will handle your personal data in a reliable or secure manner. We advise you to read the privacy statement(s) of these website(s) before using them.  

Modification of privacy statement  

Npuls may make changes to this privacy statement. We therefore advise you to consult this privacy statement regularly.
